This page explains, in plain language, how we handle your privacy when you use FileConvertHub. The short version: we collect as little as possible, never sell anything, and don't keep your files any longer than we have to.
Text and unit converters send nothing anywhere
Text-based tools - Base64 encoding, word tools, unit converters, and the like - run entirely in your browser, in JavaScript. Whatever you type or paste is never sent to a server - we never see it, because it never reaches us.
File-upload tools: what happens, and how long we keep it
Tools that convert images, video, audio, or PDFs need you to upload a file so we can process it. There are two ways this works:
Instant conversions (image formats, PDF operations) process your file and return the result directly - nothing is stored afterward.
Conversions that run in the background and take longer (video, audio) store your file temporarily while the job runs, then permanently delete it automatically - within 24 hours at the latest.
We never share, sell, or keep your files longer than the conversion itself requires.
Visitor analytics
We use Umami for basic visitor analytics - an open-source analytics tool we run ourselves, on our own servers in the European Union. It sets no cookies, uses no browser storage, and collects no personal data: IP addresses are turned into a temporary daily hash purely to count unique visits, and are never stored. We only ever see aggregated, anonymous figures such as which pages are viewed, which tools get used, and where visitors came from - never anything tied to you as an individual. Because of this, no cross-site tracking is possible and no consent is legally required; we still show a brief notice for transparency.
We don't collect accounts or payment details
You don't need to sign up to use FileConvertHub. We don't hold any user accounts, passwords, or payment information - because we never collect them.
Optional sign-in and emailing yourself a result
Signing in is entirely optional and never required to use any converter. If you choose to sign in (currently via Google, through our identity provider Keycloak), we receive your email address from that sign-in - nothing else.
That email address is used for exactly one thing: sending you a link to a conversion result you explicitly asked to have emailed to yourself, using a transactional email provider. We never use it for marketing, and we never send mail to anyone other than the address on your own signed-in account.
Sharing with third parties
We don't share or sell your files or personal data with anyone. Only two external services can ever be involved, and only if you opt into the sign-in feature: the identity provider you choose to sign in with (e.g. Google), and a transactional email provider used solely to send you a conversion result you asked to have emailed. Visitor analytics runs entirely on our own servers, so no third party is involved there.
Your rights
Under the GDPR you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to its processing, and to data portability. Because we hold almost no personal data - no accounts, no analytics profiles, at most a temporarily stored file or a sign-in email address - most requests are resolved simply by deleting that item. You also have the right to lodge a complaint with your national data protection authority. To exercise any of these rights, contact us using the details below; we respond within 30 days.
Where your data is processed
Everything is hosted on servers located in the European Union, and your data is not transferred outside the European Economic Area. There are no third-country transfers to worry about.
The limited processing we do - running a conversion, counting an anonymous page view, sending a result you asked for - rests on our legitimate interest in operating and improving a free service, and on your explicit request for the file-based tools. We keep uploaded files no longer than 24 hours; anonymous analytics data is kept in aggregate form only.
Children's privacy
FileConvertHub does not knowingly collect data from children under 13. If you believe we have, please contact us and we'll remove it immediately.
Changes to this policy
We may update this privacy policy from time to time. We'll update the date on this page whenever a meaningful change is made.
